1) Scope and who we are

This Privacy Policy explains how GLOWmusic collects, uses, discloses, and protects personal information when you use the Artist Rollout Dashboard web application and related services (collectively, the "Service").

This policy applies to account holders, collaborators, invited contributors, and anyone who interacts with project links, review flows, split approvals, support, or notifications.

2) Information we collect

Depending on how you use the Service, we may collect the following categories:

  • Account and profile data: name, display name, email address, profile image, user ID, role assignments, and account preferences.
  • Project and collaboration data: project metadata, task activity, notes, comments, mentions, timelines, stage reviews, split sheet records, and contributor credits.
  • Files and links: uploaded assets, file metadata, URLs, linked files, and external attachment references (such as Google Drive and Dropbox links you choose to attach).
  • Invitations and communications: invite tokens, email delivery metadata, push subscription identifiers, and notification event data.
  • Usage and diagnostic data: logs, request metadata, basic device and browser information, error reports, and abuse prevention signals.
  • Legal and signature records: split approval signatures, acknowledgment timestamps, reviewer decisions, and associated audit trail details.

3) Sources of information

  • Information you provide directly (for example, when creating an account or uploading files).
  • Information provided by project collaborators and administrators (for example, when they invite you or assign roles).
  • Information generated through use of the Service (for example, logs, notifications, and activity history).
  • Information from connected services you explicitly use within the product (for example, selecting a file from Google Drive or Dropbox).

4) Why we use information (purposes)

We use personal information as reasonably necessary to:

  • Provide, maintain, and improve the Service and core collaboration features.
  • Authenticate users, authorize access by role, and secure project data.
  • Enable file management, review workflows, split approvals, and audit trails.
  • Send product-related communications, invites, alerts, and transactional notifications.
  • Detect misuse, enforce terms, investigate incidents, and protect rights and safety.
  • Comply with legal obligations and resolve disputes.

5) Legal bases (where applicable)

Where privacy laws require a legal basis (such as in the EEA/UK), we process personal information under one or more of the following grounds:

  • Contract: to provide the Service you request and perform our terms.
  • Legitimate interests: to secure, improve, and operate the Service responsibly.
  • Consent: where required, for specific optional features or communications.

We do not sell personal information. We may share information with the following categories of recipients:

  • Service providers/processors that help us host, secure, deliver email and push notifications, and operate infrastructure.
  • Project collaborators and invited users according to workspace permissions and role settings.
  • Connected platforms when you choose to attach external resources (for example, Drive or Dropbox references).
  • Authorities or legal requesters where required by law, court order, or to protect legal rights, safety, and security.
  • Corporate transaction parties in connection with merger, acquisition, financing, or sale of assets, subject to confidentiality protections.

7) Data retention

We retain information for as long as needed to provide the Service, honor contractual and legal obligations, resolve disputes, and enforce our agreements.

Retention periods vary by data type, account status, project ownership, legal record requirements, and security needs. Shared project data may remain available to project owners and authorized collaborators even if one contributor departs.

8) Security

We use administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, alteration, loss, or misuse. However, no internet service can be guaranteed 100% secure, so you should use strong credentials and keep your account access confidential.

9) International transfers

Your information may be processed in jurisdictions other than where you live. Where required, we use appropriate safeguards for cross-border transfers, such as contractual protections and vendor commitments intended to provide equivalent privacy safeguards.

10) Your privacy rights

Depending on your location, you may have rights to:

  • Access and receive a copy of personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of personal information, subject to legal exceptions.
  • Request restriction of processing or object to certain processing.
  • Request portability of information where technically feasible.

  • Exercise applicable rights under regional laws (such as GDPR, UK GDPR, or California privacy rights), where those laws apply.

11) Children

The Service is not directed to children under 13 (or older minimum age where required by local law), and we do not knowingly collect personal information from children without appropriate authorization. If you believe a child has provided personal information, contact us so we can review and address the issue.

12) Third-party links and services

The Service may include links to third-party content and platforms. Their privacy practices are governed by their own policies, and we are not responsible for their independent handling of personal information.

13) Changes to this policy

We may update this Privacy Policy from time to time to reflect product, legal, or operational changes. When we make material updates, we will revise the "Last updated" date and, where appropriate, provide additional notice within the Service.
